Need to accept bookings for an event ?

It is easy to set up event bookings in SimplyBook.me, for example if you are hosting a one day or a few days event.  First you set up the providers, which can be a tutor, some equipment, a boat, seminars or what ever you are offering. You also need to create the services which are then the happenings during the event period and they have some limited duration. Services that happen on special times, and not all the time during the event, need a separate provider related to them as it is the providers that have the availability hours. Possibly you only need 1 service, and one provider for your event!

First create your providers (Classes/instructors/speakers), and the services (happenings with duration).

There are mainly 3 things to keep in mind:

1. Set up the opening period for the “company”/event and event days/hours for each of the providers
2. Change texts according to what you are offering
3. Hide Company opening hours so it does not show all days closed on main page

then you can of course set up plugins of whatever else you want to enhance the system.

Go to Settings – Company opening hours and set the weekday opening hours of the event. Don’t worry about the dates of event here, only set up how the opening hours during the week the event is held. Possibly only one day open and others closed or what ever you need.

Next go to Manages – Service providers and click on the clock sign on the right side of the provider to access the service providers opening hours. Set ALL his weekdays as closed (not available). Now go further down in the function, and click on the days that the event takes place. Take care to set this day as OPEN, and then click on the break times during the day, when and if there is no availability. Remember to save.

Now go to Settings – Translations and change any wording on the booking page according to the event you are hosting.

If you need to accept payments, just activate the payment plugin or any other plug ins that might help you to serve your clients better.

For the company, set only the days of week open that the event is held while for the service provider your set all the week days as closed and then only set special days in calendar as open.

Choose the day of event on calendar, set it as open, and click on the break times during the day

Here is a good example of usage where a coach has his normal booking lessons set up for the whole year but has created an one time event on May 4th 2013 for a special occasion event.  http://capitalqbs.simplybook.me    

Hide Working hours in Settings // Configuration, and check the box for Hide working hours block
